Palm Beach State College Board Procedure
Title: Procedure for Use of Sick Leave

Any full-time employee who finds it necessary to be absent from duty because of illness, as defined in District Board of Trustees Policy 6Hx.18-5.03, shall notify the immediate supervisor, before the opening of the College on the day on which the employee must be absent, except for an emergency where the employee is incapacitated or admitted to a hospital.
Requests for sick leave for medical appointments shall be made in advance and are subject to the supervisor’s discretion and the needs of the department.
Before claiming and receiving compensation for the time absent from duty because of sick leave, the employee shall submit the day or days absent, and the total hours of leave requested in the online system for approval. By submitting the hours, the employee attests that such absence is necessary, and that the employee is entitled to receive pay for such absence in accordance with policy.
The supervisor may, as a matter of discretion, require a certificate of illness from a licensed physician as a condition of payment of compensation or granting of leave including, but not limited to, the following reasons:
- A medical absence of three or more days,
- The employee has already been absent for three or more consecutive days,
- The employee has already been absent for three or more days in a thirty-day period,
- The employee’s previous request for time off using another leave method for the same period was denied, or
- The employee has been counseled or disciplined for excess usage of leave within the last twelve months.
If the employee fails to provide the appropriate medical documentation the request for leave may be denied and any time already taken may be considered unapproved absence and be subject to disciplinary action in accordance with District Board of Trustees Policy 6Hx-18-5.44.
An employee shall not request, nor a supervisor approve, more than five (5) consecutive sick days at a time, unless Human Resources is consulted in accordance with District of Trustees Board Policy 6Hx-18-5.131.
Transferring Sick Leave from Another Employer
Transferable sick leave shall not be credited to the employee until the employee procures and provides written certification from the former employer establishing the amount of sick leave that is transferable to the College. The employee shall submit the form in the online system. Availability of transferred sick time shall be in accordance with District Board of Trustees Policy 6Hx.18-5.03.
Transferring Sick Leave to Another Employer
Sick may be transferred to another accepting employer where no exchange of funds is made. The employee shall request the transfer in the online system prior to the last week of work. Once a transfer is validated by the accepting employer, the College shall not respond to another transfer request in the future from a different accepting employer.
